This policy explains what personal data the Pastrix Crew application collects when you use it for your work, why it collects it, who sees it and what your choices are. The application is meant only for the staff of cleaning companies that work with Pastrix. Accounts are not opened by the user.

Who is responsible for the data. Your account is opened and closed by the company you work for. It decides which work data is kept and for how long, so it is the company that answers for it. REVO SHPK, NIPT M52410029I, Rruga Panorama, Tirana ("we"), provides the platform on its behalf and processes the data on its instructions. For any question, ask your office first; you may also write to us at [email protected].

What we collect

  • Your sign-in – your name, email address and password (stored encrypted only, never in readable form), your role and the team you belong to. The office sets these when it creates your account.
  • The day's work – the visits assigned to you, the hour you open and close each one, the services you carry out and the notes you write. A visit also shows you the customer's name, address and telephone number, so you can get there and reach them if you need to.
  • Your position – see the separate section below.
  • Photographs – the "before" and "after" pictures you take for a visit. The picture is made smaller on the phone before it is sent, and the file's accompanying data — including the location a camera normally stores — is dropped in the process.
  • Your device – a notification code so we can tell you about new work, the phone model, and the version of the system and of the application. When a position is sent, the battery level goes with it, so the office knows the phone is about to die before it loses you.
  • Technical data – the IP address and the time you signed in, kept for security, and error logs when something does not work.

Your position – when and why

Position serves one purpose: so the office knows where the crew is while the work is being done, and so a visit is recorded with a place as well as an hour.

  • Only during work. Your position is sent while you are on the way to a visit or while a visit is in progress, roughly once every half minute. Outside those moments nothing is sent.
  • Only with the application open. The application does not ask for background location permission and does not read your position when it is closed.
  • At the press of a button. When you press Start or Finish, a single reading is taken, so the visit stays on record with a place and an hour.
  • You can switch it off. Under Settings → Share my position you can turn it off whenever you want, and you can withdraw the permission from the phone itself. The office can see that you are not reporting.
  • History is the company's choice, and it is limited. By default only your latest position is held, and it is overwritten each time a new one arrives. If your company switches history on, it is kept only within working hours (including the half hour before the first visit and after the last), not every reading but one point every few minutes or every few dozen metres, and it is deleted automatically after the period the company has set.

Why we use it

  • To show you the day's work and any change to it.
  • To tell you when new work is assigned to you, or when a visit is coming up.
  • To show the office where the crew is and how long the work actually took, so the day can be organised and the customer can be answered.
  • To record the state of the place before and after the work: the photographs are the proof of what was done, both against the invoice and against any complaint.
  • To keep the service secure and to prevent misuse.

This data is processed to carry out the working relationship between you and the company, in the company's legitimate interest in organising the work and evidencing the service performed, and to meet legal obligations. We do not use your data for advertising and we never sell it.

Who sees it

  • The office of the company you work for – your supervisor and the administration see your work, your hours and your position while you are working.
  • The customer – is told that the crew has set off and that the work is finished, and sees the photographs of their own visit. They do not see your position on a map.
  • Our staff, only where it is needed to keep the service running or to resolve a problem.
  • Service providers who run parts of the service for us: hosting, sending email, phone notifications, and Google Maps for the visit's map. Each one processes the data for that purpose only. Google's use of the map is governed by Google's own privacy policy.
  • The authorities, only where the law requires it.

How long we keep it

  • Your account, until the company you work for closes it.
  • Your latest position, until the next reading replaces it. Position history, where the company keeps one, is deleted automatically after the period it has set.
  • Visits, hours and photographs are kept by the company that carried out the work, for as long as accounting and tax law requires.
  • Security logs, for a short period, and then deleted.

Your account

An account in this application is not opened or deleted by you: it is created and closed by the company you work for, because it belongs to your employment and to the work you carried out for that company's customers. When you leave, the office closes your sign-in and your phone receives no further data.

To have your account closed, to see the data held about you, or to ask for it to be deleted, ask your office. If you get no answer, write to us at [email protected] and we will pass the request to the company responsible and reply to you within 30 days.

When you leave the application with Sign out, your phone is removed from the notification register and the data stored on it is deleted from the device.

Your rights

At any time you may ask to see the data held about you, to correct it, to have it deleted, or to object to a use of it. You can make the request to the company you work for, or to [email protected].

If you believe your data has been handled wrongly, you may also complain to the Commissioner for the Right to Information and Protection of Personal Data.

Children

This application is used only by people in employment and is not directed at anyone under 16.

Changes

If we change this policy, the new version is published on this page with its date. Where the change is significant, we will tell you by email or in the application.
